Merge Terms of Service

These Terms of Service (“Terms”) govern the use of Merge Roanoke LLC's coworking facilities and services (“Merge,” “we,” “our,” or “us”). By becoming a member, purchasing a day pass, or renting a conference room, you (“you,” “Member,” “Guest,” or “Renter”) agree to abide by these Terms.

Your acceptance occurs electronically at the time of sign-up, purchase, or booking, and no physical signature is required.

1. Membership Terms

1.1 Access & Hours

Social members have access during posted business hours.
Resident members have 24/7 access, but certain areas may be restricted after hours.
Access credentials (keys, fobs, codes) must not be shared.

1.2 Access Cards & Key Fobs

Access cards and key fobs remain the property of Merge.
They must be returned immediately upon termination of membership.
Lost, stolen, or unreturned cards/fobs incur a $50 replacement fee, charged on your final invoice if not returned.

1.3 Event Rentals

Merge regularly rents portions of the space for private events. Members and their guests may be asked to relocate to other areas during rentals.
Merge will provide reasonable notice and ensure alternate access when possible.

1.4 Conference Rooms

Membership includes a set number of conference room hours per month.
Reservations are required and subject to availability.
Unused hours do not roll over unless otherwise stated.

1.5 Desk Reservations

Desks must be reserved through Merge's reservation system.
Reserved desks must be used during the reserved time; unattended reservations may be released.
Merge reserves the right to limit desk reservations for fairness.

1.6 Guest Passes

Members may bring guests using allotted guest passes.
Guests must sign in and remain with the Member at all times.
Members are responsible for guest conduct.

1.7 Fees & Payment

Membership fees are charged monthly in advance on the same calendar day each month as the initial membership date.
If a month does not have that day, billing occurs on the last day of the month.
Payments are processed automatically using the payment method on file.
You authorize Merge to charge your payment method for membership fees, add-ons, replacement fees, and any other amounts owed.

1.8 Term & Termination

Memberships begin on the date of sign-up and continue month-to-month unless terminated.
Members may cancel with 30 days' written notice.
Merge may terminate immediately for nonpayment, misuse, or policy violations.
Upon termination, all access cards/fobs and Merge property must be returned.
Final Invoice: Any outstanding amounts, including $50 per unreturned access card/fob, damages, add-ons, or unpaid fees, will be charged to the payment method on file.

2. Day Pass Terms

2.1 Access

Day passes grant access during posted business hours only.
No overnight access or storage of belongings is allowed.

2.2 Conduct

Day pass users must follow all House Rules and respect other members.
Disruptive or inappropriate behavior may result in removal without refund.

2.3 Liability

Use of the space is at your own risk. Merge is not responsible for lost property or injury.

3. Conference Room Rental Terms (Non-Members)

3.1 Use of Space

Rentals grant access to the reserved room only for the agreed time.
Setup and cleanup must occur within the rental period.

3.2 Payment & Cancellations

Payment is due at booking.
Cancellations within 24 hours of the reservation are non-refundable.

3.3 Conduct & Responsibility

Renters are responsible for all guests and any damages during the rental.
Renter agrees to use the space responsibly and comply with House Rules.

3.4 Liability

Use of the space is at your own risk. Merge is not responsible for lost property or injury.

4. House Rules

Respect the space and others. Keep noise reasonable, use headphones, and clean up after yourself.
Shared areas are for everyone. Don't leave belongings unattended.
Conference rooms and desks must be reserved. Release reservations if unused.
Guests must be checked in. Guests must remain with their host.
No smoking, vaping, or illegal activities.
Food and drinks. Be considerate with smells, and clean up spills immediately.
Internet use. Wi-Fi is provided “as-is.” Illegal or harmful activity is prohibited.
Events. Merge regularly hosts events. Members and guests may need to relocate during rentals.
Confidentiality. Respect the privacy and business activities of others.

5. General

These Terms are governed by the laws of the State of Texas.

By creating a membership, purchasing a day pass, or reserving a conference room, you confirm that you have read, understood, and agreed to these Terms of Service.
